Use the Merge Tag Inserter

In this video, we will go through how to use the merge tag inserter to create customised email templates.
A merge tag inserter pulls the information from a student profile.
For example, if you want to send bulk emails to multiple students at once, you want to personalise the emails.
The merge inserter will pull the respective information such as "parent name" or "student year level" for each profile and put that into the email.
This allows you to send multiple emails at once, but still have them addressed to the correct people.
Set this up for any email template that you use often, so you don't have to write emails more than once.
You will find this by going to email settings, and templates.
In edit mode, you will have the merge tag inserter, here.
Let's take a look at this example.
The first information I want to pull is the parent name.
Instead of "parent name," we want to pull "John" as the parent's first name and "Test" as the last name.
Click on the merge tag inserter and search for the relevant thing that you're looking for.
In this case, "parent."
The merge tag inserter will show you all the merge tags that are possibly relevant to your search.
You just need to find the correct one.
In this case, we want to use "user parent title."
We also want to know the user parent's "NAME."
Again, search for "parent" and this time, select "user parent first name."
Finally, we also want to add the user parent's, "LAST NAME."
Search for the information you want, and this time, find, "user parent, LAST NAME."
You can also search for "last name" and pull up what it is you need.
Then preview this to ensure it makes sense.
You can preview the template, for any student by typing in the name.
For example, search for "Robert" and click on, "preview."
The template will now display something like "Dear Mrs. Allusha Test."
For a different student, it will show "Dear Mr. Robert Diaz."
When your tags are correct, you can move on to the next line in the email.
In this example, the email reads: "We are pleased to offer [blank] a position, in our year seven class."
Here, we need to replace [blank] with the student's name.
In the merge tag inserter, search for "NAME" and choose "profile first name."
When you click "ok" it automatically inserts "profile.first name."
The template now reads: "We are pleased to offer [profile first name] a position in our..."
Here, we need to change "year level."
In the merge tag inserter, search for "year."
When you click on an option, you can see what the expected outcome will be.
"2025", is not what we are looking for.
Go back and select "year level label", instead.
This tag will return something like "Kindergarten" or "Year One," which is what we need.
If you're unsure, preview the template again for accuracy.
Select a student.
The template now displays: "We are pleased to offer Robert a position in our Year Three class."
NOW, we need to replace "school name."
Remove any old tag, search for "school," and pull in the merge site for the school name.
Replace "term two" similarly by searching for "term" and entering the relevant information.
Update "2024," by using the "profile entry year" tag.
Then, preview the template again to ensure the content is accurate.
"Dear Allusha Test, we are pleased to offer Robert a position in our Year Three class, commencing in Term 1, 2026."
Continue doing the same for the rest of the template.
Replace "[blank]'s birth certificate" with "profile first name."
You can also copy and paste this tag directly, if you have already used it before.
Make sure to confirm other details like "student names" wherever you need.
Add another merge tag for "enrolment payment cost" by searching for relevant tags.
In this case, search for "payment amount."
You can see that the search returns a lot of different options, so you need to make sure to select the correct offer variation.
For this template, we are offering a normal offer, so we need to select: "offer payment cost."
Finally, preview the email template again to confirm everything is as it should be.
Once you have made all the necessary changes, save the template. You can now find the updated version under the relevant tab in the student profile.
