EnrolHQ-Sentral Integration: Seamlessly Sync Student Enrolment Data

EnrolHQ’s integration with Sentral makes it simple for school admissions staff to transfer student enrolment data efficiently and accurately. Leveraging Sentral’s REST API, this feature ensures smooth, one-time synchronization of confirmed student records and documents, streamlining your enrolment management process.

Key Features of the EnrolHQ-Sentral Sync

1. One-Time Sync for Confirmed Students

• The sync process is initiated with a single click after a student has reached the Offer Acceptance stage in EnrolHQ.
• Designed to occur as late as possible in the enrolment journey to ensure only confirmed students and their associated data are transferred.
• For students who do not proceed with enrolment, EnrolHQ offers Document Delete and Sensitive Data Delete bulk actions to maintain data security and compliance.

2. Avoid Data Duplication

• Student Records: EnrolHQ checks for existing student records in Sentral using first name, last name, date of birth, and household postcode. If a match is found, staff will receive an error message, preventing duplicate entries.
• Household Data: EnrolHQ searches for existing households in Sentral using the Primary Carer’s name and contact details. If an existing household is identified, the enrolment draft is sent without household data, and admissions staff can manually attach the appropriate household in Sentral.

3. Document Synchronization

• Verified documents in EnrolHQ are synced to the Documents tab in Sentral. Documents must be marked as “Verified” in EnrolHQ before synchronization.
• While the data sync is a one-time process, newly verified documents can be synced multiple times after the initial transfer by clicking the "Sync Sentral" button in EnrolHQ.

How the Integration Works

1. API Integration
   
   • EnrolHQ utilizes Sentral’s documented API endpoint, Post Student Enrolment Draft, to transfer student applications and documents seamlessly.
   • The school provides EnrolHQ with the necessary Sentral API credentials: API URL, Tenant ID, and API Key.

1. Lookup Table Mapping
   
   • EnrolHQ maps Sentral’s lookup tables, such as Year Levels, Genders, and Flags, for accurate data transfer.
   • Any missing lookup tables, like parent relationships to students, must be supplied by the school.

1. CSV Data Import
   
   • Schools provide a CSV file of their Sentral enrolments, which EnrolHQ imports to create a unified dataset.
   • Imported students appear with their Sentral Student ID as the external ID, highlighted in green within EnrolHQ.
