Staff Dashboard Overview

TRANSCRIPT:

"This" is the EnrolHQ dashboard.

This is going to be the first screen that you see when you log in, and you can always get back to the screen by clicking on "dashboard" in the main menu.

At the top of the dashboard, you can drill down to see the desired information using the main filters.

You can select a specific year of entry or calendar year of entry.

You can search based on a gender, a campus, or an attendance type, or you can go in and look at a specific date range that you want to see and select a start and end date.

The dashboard is sorted based on different types of information.

The box called live feed shows you a real-time overview of what's going on inside EnrolHQ.

It will show you if a parent submits a specific form, for example an event booking form, an application form, or a custom form.

It will also show you if they accept an offer, or upload a document, and you will be able to drill down into a specific action by clicking on this dropdown menu.

For example, if you want to see all the new enquiries that have been submitted, you can filter down and see these based on the time of submission.

Basically, the live feed is a real-time overview of what is going on from the parents' side as well as other EnrolHQ users.

The next box is specifically for tracking enquiries, and this is an overview of all your enquiries that have been coming in during a custom date range that you've selected.

The graph will show you an overview of how many enquiry form submissions you have received this year, versus last year, on a month-by-month basis.

And you can see at the bottom, that you'll have some links which will take you directly to the student profile.

Once you close down an enquiry correctly and answer it, this link will disappear.

The goal is to always keep this box empty as that would reflect that all enquiries have been answered and you're up to date.

The event bookings box will show you information about the upcoming events that you have set up in the system.

This is a simple overview of what it is that's coming up, to help you keep track of numbers for each event.

In this box, we have 14 families registered, but by clicking on the icon with the three people, we can see the number of attendees. We actually have 26 people registered.

This event information will be broken down into different events, if you have multiple.

If we keep scrolling down, we will have some more information about our other forms.

We have a second main form inside of EnrolHQ.

Some schools use this as a second application form called "expression of interest", but it can also be used for "ELC", or as a "scholarship" form.

This box has links to profiles with the latest submissions and shows a graphical overview of submissions, month-by-month in comparison to the previous year.

You will also have your latest enrolment form submissions, which is your main application form.

This box shows an overview of all of the latest submissions so you can go in and review.

Next, you have a box called "Incomplete Enrolment Forms" or Incomplete Applications.

This is showing you all the parents that have started an application form but not submitted it yet.

You can set these profiles to show up in this box so that you can make contact and push them to finalise the application.

This is a trigger to follow up with leads if your school doesn't already have a long waitlist.

Otherwise, you can set the incomplete setting to 365 days and the link will simply not show until the family should be moved to the not proceeding box.

You also have a box called "Enrolment Offer Expired".

This is an overview of all families where the offer expired date has passed and where you would need to contact those families to see if they're still interested in accepting the offer or put them into "not proceeding" status.

Clicking on the link will take you directly to the profile.

Further down, you also have a box called "My Tasks".

If you have any tasks that have been assigned to you by different staff or by yourself, they will show up in this box on the set date.

On the right, you have some marketing information, such as information about "how did you hear about our school", and you'll see all of the recorded answers and numbers below.

Click on the graph icon to see a graphical overview. It will take you directly to the intelligence report.

If you scroll to the bottom, you will have additional information such as "future student geo data", so you can see where all your enrolments are coming from.

This will show you an overview on the map of the top suburbs in terms of student numbers.

And you will also have a table overview just next to the map.

The same goes for the top schools where your students are coming from, if you have asked for this information in your form.

You can drag and drop these boxes based on what you work with and what information that you need on a daily basis.

So if you're working with enrolments, you might want to keep your latest enrolment form submissions at the top.

If you're working with marketing, you might need information such as where students are coming from, instead. Because you use that information more frequently.

In that case, you can drag that information to the top so you have that easily available.
