Initial Setup
TRANSCRIPT:
In this video, I will explain how to set up a second offer process inside EnrolHQ.
The complete instructions are divided into 5 smaller videos and this is video number 1.
After the second offer is activated, the process will work in the exact same way as it usually does for enrolment offer.
The second offer can be used as a deposit payment or as a separate offer, for a different attendance type. For example an offer for junior school versus a secondary offer for senior school.
The first thing we need to do, is enable the second offer workflow by going to settings, and then going to Enrollment Journey stages.
And here we need to find Reserved Place offer, which is a default name for a second offer.
We need to turn it on, and decide if we want to show it for the parents in their parent dashboard, or not.
Then we can rename it to whatever it is that we want to call our second offer process. For example, Junior School Offer.
And once you've renamed it, you can click on save and you can also reshuffle so you can put it where it belongs in the enrollment journey.
Once you've turned that on, if you go back into the student profile, we now have a reserve Place offer in our sub menu and we also have a new Reserve Place offer as a status.
So once we want to make an offer out, we can put the student into the status and we can go to the reserve place offer tab and make the offer from here.
Now, as part of the initial setup, we also need to go to settings and we need to go to payment settings and click on the Reserve Place offer tab.
And from here we need to put in a payment if that's necessary. Let's say that's gonna be a hundred dollars.
Just below, there are some settings that allow you to set different discounts, such as alumni discounts. We also need to add the GL code and check out payment line item label.
Once we've set up the payment, we also need to go to settings and school details and open up the Reserve Place offer workflow.
Here we can choose: "what is the default expiry date of this offer". By default, the offer expires after 14 days, but you can change this to 21 days or longer.
And we also need to set the default time for the offer expiry automation email, if we want to send the parents an automatic email reminder.
Remember that you also have to set this up as an automation for it to work.
Once you've set up the default settings, you can click save.
Once you have saved this, you can move on to the second step, which is to set up the terms and conditions and the email templates for this offer.
