How to Set Up Offer Expiry Reminder

In this video, we will go through how to set up an "OFFER EXPIRY REMINDER AUTOMATION."

Before you start, you will already need to have set up an offer expiry email, so that you have a template that goes out to the parent.

When this is set up, step two would be to set up the automation.

To do that, go to automations in the main menu, and then you click on create in the top right corner.

From this view, the first thing to do is to set the NAME of the automation.

The name is internal, so it should be something to remind you of what this automation does.

For example, "offer reminder."

It is best to be specific, by saying the reminder time. This will give a good overview later. So the name can include: "seven days prior" as well.

Once we have finished setting up the name, the next thing to do is to select WHAT we are sending, and to WHOM.

Parent template is an email template that goes out to the parent. Parent SMS template is an SMS template that goes out to the parent, and staff template is an email template that goes out to YOU as staff.

In this case, we want to send it to the parent and we want to find the "offer expiry reminder" email template we created earlier.

We find the template, we select it, and the next step would be to select the trigger event.

The trigger event is WHEN are we sending it!

We are sending it as an "offer reminder." We can search for "offer" and see which options we have, and then find the one that is relevant.

In this case, the relevant one would be enrollment offer, expiry reminder.

When you select this, you will have some default timing settings, which you can click here to adjust.

Just make sure that you duplicate the tab before you click to edit settings so you can go back to your automation.

Trigger Reminder is by default currently set to go out 168 hours before the enrollment offer expired date.

168 hours is already seven days prior. That's perfect.

In that case, we just set the delay to zero and then we are ready.

If we click save, the automation is set.

If we want to send the offer expiry reminder two days before, we need to put in a delay instead.

So two days before it would be 168 hours minus 120, which means that it will be sent 48 hours prior.

That equals, two days.

But in this case, we keep it to zero, which is 7 days before.

If you go back to the overview page, you will now have a new "offer reminder automation" that you can find under "page TWO" called "Offer Reminder seven days prior."
