How to link siblings
TRANSCRIPT:
Sometimes we need to "link" two sibling profiles together because parents have used two different email addresses inside EnrolHQ.
In this example, we are going to pretend that Robert Test has a sibling that is also enrolling using our system. His sibling will be called "Jimmy Test".
We can see that we have no linked siblings here and we can see that the user parent email used for Robert is allusha+test@enrollhq.com.au.
If I search for Jimmy, and open up the second sibling's profile, and navigate to the user parent's tab, the email address used here for the user parent is allusha+dummy. This is different from the one that Robert's user parent has.
Sometimes this happens because a parent has used one email address for one sibling and a different email address for the second sibling, and we just need to connect them together.
Other times it can happen because the mom has filled out the form for one sibling and the dad has filled out the information for a second sibling. There can be many reasons why this happens, but in any case, we do need to connect them as siblings inside EnrolHQ.
To do that, we need to decide which email address to use.
In this case, let's say that we want to keep "Robert's" email address as the main user parent. "allusha+test", should be the email registered for both siblings.
Step 1 of connecting these two records as siblings is to make sure that the user parent is the same for both profiles.
So we check Robert first, and we can see the parent is Mrs. Allusha Test. Then, we do the same for Jimmy. We check the user parent and we confirm that it's still Allusha as the user parent.
If we need to, we will swap user parent 1 and parent 2 to make sure that Allusha is the user parent for both profiles.
The next step is to go to the profile that you don't want to keep the email on. In this case, Jimmy. And switch the email to allusha+test@enrollhq.com.au.
Normally, if the email is not already registered to a student, you can easily change it under "login actions." But what we're going to see here is an error message when we try to change the email address.
So let's reproduce this problem. Inside parent 1 tab, click on "login actions", and click on "set email/username."
If you switch this email to the one you want to keep, which is allusha+test, you will reproduce the error that says: "User with this email already exists and has a student profile."
So what we need to do is use our workaround.
The workaround is to switch the primary point of contact to the second parent.
Now that they are switched, and the dad is the user parent, we can go to parent 1 tab and change that parent's email address, and click "save."
Then, we go to the dad's tab, and switch the primary point of contact back to Allusha.
Now we can see that we have the correct email address for Jimmy, and Robert has been linked as a sibling as well.
