How to Link Interviewers Calendar

In this video, I will explain how to set up a link between Enrol HQ and the interviewer's personal calendar.

This link needs to be set up once per interviewer.

If the interviewer is using a Google calendar or an Outlook calendar, we can link the interview bookings directly to their calendar so that once a new availability is created, a booking happens, or a cancellation is done by the parent, this is automatically updated in the interviewer's calendar.

To set up this link you need to navigate to interviews, and interviewers.

and then you will get to this page. On the right side, you will have a green calendar button. But before we can link the calendars you should check that you have enabled the correct settings and the ability to make that link to EnrolHQ.

Step 1 is therefore to enable all the mandatory settings. You need to navigate to settings.

Then go to school details

Go to features

And then make sure that you have enabled the cancelled prefix to interviewer calendar title

As well as "remove canceled calendar events from the interviewer's feed".

These two settings will enable cancellations to be removed from the interviewer's calendar, so make sure that those two settings are enabled.

Step 2 is to go back into interviews and interviewers and to create a link to the calendar.

On this page, find the interviewer you want to link the calendar for, and then click on the green calendar button to copy to Clipboard.

This copies the link directly from the enrol HQ calendar.

You then need to log into the interviewer's calendar and link the two together.

Let's take this as an example. In this Google Calendar, you now need to add other calendars, and select from URL. Then you just paste in the URL link.

Click on add calendar, and from now on, all the availabilities inside enrol HQ will be added to this calendar.

We can see we have a session availability from 8:30 to 9

From 9:30 to 10

From 10 to 10:30

All of the availabilities that we have inside Enroll HQ will be added to the calendar.

You would do the same thing if it was an Outlook calendar as well.

You would Go to the calendar and find "other calendars" and add through a URL link.

After this connection has been set up, there can be up to 8 hours delay between what happens in EnrolHQ until this is updated in the calendar.

You would need to do this only once per interviewer. Once you have set up a new interviewer and copied their calendar, you then add that link to their calendar, and the link is completed.
