How to Create a Custom Email Template

In this video, I will explain how to add custom email templates.
You can find your custom templates in a dropdown menu when you send an email. Go to a student record, then go into comms log.
When you click on "send an email", the dropdown that you have here, called "email templates", that's all your custom emails.
You'll also find the same dropdown when you send emails in bulk. Go to "contacts", and "all prospective", select at least one student, then select "bulk action", and click on "send an email".
The list you have here, are all custom emails.
To create templates that you will be using a lot, you would navigate to the main menu. Click on email settings, then templates, and custom.
This is where we're going to be working.
This is the list where you would add any templates that you use regularly or any templates that you would use for automations.
To create a new template, click on add in the top right corner.
Then you would need to select a type of email.
In this case, select custom. That's the only option that is going to be available under comms log, send an email.
You would need to name your template, and further down put in a subject line and message text. This is where the information you want to send goes.
In this case, I will paste in an example. And select "custom" under type.
We will call this template "Log into your parent dashboard."
This name is internal only.
Next, add in a subject. We will write "new, parents" and then add in your email.
Make sure you have added everything that you need to, create your template, add a subject, and name it.
You can put in a signature, "here", and then preview the template for a student to see that the merge tags render correctly.
And once you're happy with that, you would click "save and back".
If you scroll down, you can now see that we have a new "Log into your parent dashboard" email template "here", which we can copy, delete, or edit if we need to.
If you click on "edit" you can go back to the template you just created to make changes.
You can also create different types of emails. Again, click on add,
and in this case, select that you are trying to make an enrolment offer email for a parent.
You would select type: "Make Enrollment offer for Parent." which will allow you to create multiple offer templates.
So if you want to send a different template for junior school versus senior school or even a different offer letter for every "year level", or maybe for different attendance types, you can do that by creating as many offer letters as you want.
Depending on what type of email you are creating, just select the correct "type".
If you create an offer email, they will appear under "email settings", "templates", and "application". It can also be called "enrolment", depending on what this stage is called for your school. And all your offer emails would be linked directly here.
If you go back again and you select type: marketing, these templates would be applied under marketing. They would all be filed here, under "email settings", "templates", and marketing.
You can also make several templates for event booking cancellations, various application invite emails, or reserve place offer templates. And they would automatically be filed in their respective categories under email settings, and templates.
