Creating Multiple Sessions for an Event

In this video, we will look at how to add multiple sessions to an event.
You can add as many sessions as you need to help restrict how many people should attend each time slot.
In the main menu, click on events to get to the events module, then click on event list.
From here, under your upcoming events, you would find the event you're looking for and click on the edit button.
This would take you inside a specific event's settings, where you can adjust the event itself, or you can add multiple sessions.
Now scroll down to Capacity and Sessions, to see what time the session is currently set for.
Here, we would have an "add session" button that we can use if we want to add additional sessions.
Click on it, and a new session appears where you have the ability to set the information for the next session.
First, add a name: "Open day, 12th of September".
In this example, the session is on the same day as the main event.
Specify the date, which would still be September 12th.
For this session, instead of 8 to 10, it should be 10 to 12.
NOW, we have two different sessions.
One session that starts at 8 AM and finishes at 10 AM. The second session on the same day starts at 10 AM and finishes at 12 PM.
We have effectively created 2 staggering time slots, which was very useful during Covid times, to restrict the attendee limit.
Next, we would set a total capacity.
Let's say the total capacity on the second session would be 50 people, because we have fewer staff.
We can also set an application registration limit. This restricts how many families are allowed to register before the event is fully booked.
We can also add another session by copying a previous one.
By clicking on "copy this session", all the information would be copied over as a new session.
Again, just make sure that the details are correct.
In this case, switch the start time to 12 PM and the end time to 2 PM.
We will now have three different sessions on the same day.
One from 8 to 10 AM, the second from 10 AM to 12 PM, and the third one from 12 to 2 PM.
Finally, set the capacity if you need to.
By clicking save and back, we will now have a different total capacity: 100 on the first session, and 50 on the second and third.
We also have a registration limit of 20 on one or more of these sessions.
From the parents' view, they can go to your website and click on "book a tour" to book into the new sessions.
When they do this, the page will look something like this:
We now have two different events, and if the parent clicks on "open day for 12th of September", they will now have available sessions to choose from.
These sessions will be marked as "fully booked" when one of the limits is reached.
