Create Test Profile

This video will go through how to set up a test profile inside enrolHQ.
A test profile can be used to test anything before going live with it, to parents.
For example, you can set up a new form and see what that looks like before sending it to parents. Or set up a new automation or email template and test by sending it to your test student before sending it to real parents, or test that new Parent Dashboard settings work before opening them to everyone.
So there's two ways to create a test student inside the system.
Number one is to go to contacts in the main menu and go to all prospective.
And from here in the top right corner, you are going to have an add new contact button.
If you click on this and fill out all of the student details and parent details, you will create a new record inside enrolHQ. And that record will also have their own parent dashboard.
A new record is always based on an email address for the parent. So if you need to connect two students as siblings, you have the ability to "attach profile to existing parent."
The second way, and the better way to do this really, is to go to Parent Links and then click on either enquiry, event, or application form.
Using one of these links, you can go through a form as if you're a parent and start the enrollment process.
So in this case, we are going to create a test student by filling out the "enquiry" form. If we click on this link, it will open up a new tab and take us directly to the form.
This would be the same as if a parent went on your website and clicked on submit an enquiry. In the same way, they would be redirected to this link.
So because we want to create a new parent that is not recorded in enrolHQ before, we need to use a completely new email address.
As an example, I will add in a new email address that the system will not recognize.
And when I've done that, it will allow me to continue straight into the form.
For parents that have used their email before, the system will ask them for a password, and then they will be able to continue using the same details as they have done in a previous form.
For brand new parents, where the email is not used before, the form is completely blank.
So with this enquiry form, we have 3 steps. The first step collects parent details. The second step asks for student details. And the third step asks about our enquiry details.
With this information, a record is automatically created inside enrolHQ upon form submission, and that will be our test student.
So in this case, I'm going to create a record for Miss Allusha Test. I put in a phone number and I put in an address.
That's all that we're asking for the parent. On the second step, I need to put in the student details.
This is going to be May Test, and I put in a date of birth and a little bit of information about May on her entry details.
And then finally, we just add in "what is this enquiry about."
So let's say this parent is enquiring about a tour and they heard about the school by word of mouth.
We submit our enquiry, and officially we have a new record in our system.
If you go into contact All Prospective, we now have Allusha+demo@enrolhq.com.au and our new student is created.
You can now click on edit to go into the new student profile, which includes the bare minimum of information that we have collected so far.
Our student details have now been pasted here in the student tab. The parent details have been pasted in the parent tab, and our enquiry details have been pasted in, in our enquiry tab.
And because we have created the student via an enquiry form, the enrolment journey stage that this student record is in, is enquiry online.
Now that this student has been created, we also created a parent dashboard. You can click on "login as a parent" to hijack the parent dashboard and see what the parents will see when they log into their parent dashboard for the first time.
And this dashboard will change based on the enrollment journey stage that the student is in.
