Checking Email Templates

In this video we will look at how to check the initial email templates that go out with the reserved place offer.
To do that, you need to go to email settings. You click on templates and you go to Reserve Place Offer to get to this page.
Here, you'll have all of the parent templates on the left side and you'll have the staff templates on the right side.
Let's go through them, one by one. First, you'll have the make offer template called Reserve Place Make Offer Parent.
That's the one that notifies the parent that they have an offer they need to accept by logging into their parent dashboard.
As a tip, you can create as many of these make-offer templates as you want, by clicking on "add" and selecting "type", "reserve place offer".
The next template is called "reserved place offer accept link".
This email sends a separate acceptance link to secondary parents to accept the reserved place offer first. Let's go through this process together.
First, we duplicate the tab, and we will need to send out an offer to a student. Then, we use the second tab to log into the parent dashboard, as the parent, to see the process.
Start by checking that the student is in "Reserve Place offer status". Then navigate to the "Reserve place offer tab", and make an offer out.
The template that was just sent, you can find in Comms Log, and if you preview that, you can read what was sent to the parent.
This is the same template that we could edit under "Reserved Place Make Offer Parent".
Now that the parent has received this, they would log into the parent dashboard. So they would use the email that is connected to the user parent and they would put in the password.
When they are logged in, they would be able to accept the Reserve Place offer under their "outstanding tasks".
The instructions prompt the parent to send an email to "Daniel Test" so that he or she can accept the offer first.
Now that the email has been sent, we can find it in the Comms log.
This email template has gone out to the secondary parent, Daniel, inviting him to accept the Reserve Place offer by clicking on the "accept link".
And that's the same template we were looking at earlier, called "reserved place offer accept link".
Feel free to change the default template if you want.
Let's keep going: Once the secondary parent has received this email, they click on the "accept link".
To accept the offer, the secondary parent, "Daniel", needs to input the email address that is registered under Parent 2 in EnrolHQ.
and also put in his last name "test", and the date of birth for Jimmy, 4th of June, 2019.
If the information is correct, Daniel can accept the reserved place offer which automatically triggers an email that goes back to the primary parent.
If we go back to commslog, we can see the email template.
It reads: dear Allusha, Daniel has now accepted his part of the offer. You may click on this link to the parent dashboard and accept the reserved place offer.
This email template is found, here, "reserve Place offer accepted by non-user parent". It is automatically sent to the primary Parent when it's their turn to sign.
The primary parent can now log back into the parent dashboard and this time they'll be able to accept the reserved place offer as well.
The parent then accepts and pays and once that's done, the parent will receive a final submission and acceptance template, which confirms that the offer has been accepted.
If you need to check your default templates, this is where you'll go. Email settings, templates, reserve Place offer and you will be able to adjust the default templates and the process that goes with them.
