Bulk Actions
TRANSCRIPT:
Bulk action will give you the ability to do an action for multiple students at the same time. So it will save you a lot of time if you have to do the same thing, such as send an email, for multiple students.
To do a bulk action, you need to go to your main menu, click on contact, and click on all prospective.
This page will have an overview of all your records inside EnrolHQ.
You can drill down and see between 10 to 300 records at the same time, on one page.
You need to select at least one record to work with for the bulk actions button to be activated. And you can see it in the top right corner.
The first thing you want to do is to filter your students.
And you can do that using the main filters at the top of this page.
For example, to filter students in a specific status or your Year 7s to select a specific year.
You can open up additional filters by clicking on "show more".
Here, you can search for information about an event, or for families that have started an application and not completed it yet. Maybe you need to know all students with a manual "application submission date".
Or, you can search for all records that have submitted a specific custom form within a certain date range.
Whenever you're done doing your filtering, the next step is to select the records. You can select "all visible", or you can "select all".
If you select all, you will have 55 records in year seven. What you need to do next, is to click on "bulk action" and choose which action to do with those 55 records.
At the top, you have the most common actions.
For example, you can export these 55 records into a CSV file.
And by clicking on this, you can select what information to export.
Depending on what information you need, you can select to export only the "medical details" for all these 55 records, or only the "preschool questionnaire" answers.
And based on that you can do additional reporting with those 55 records using the CSV file.
You can also change the status of all these 55 records at the same time.
For instance, if you want to make an offer to this group of year 7 students, you can change these 55 records into "enrolment offer" status, and then make a bulk action enrolment offer by selecting a new bulk action, and "make enrolment offer".
Other things that you can do is: send an email, or send a "marketing" email.
You can ask parents to reupload a new document by unverifying documents and then send an email for parents to log into their parent dashboard and re-upload the new version.
For example, asking for updated naplan results, or updated immunisation history statements.
You can also "re-open" their enrolment form if you want all the year sevens to re-do their original application form and submit updated information.
Here you can choose whether they should make a new payment or not.
A bit further down, you have a bulk action to book all the year sevens into a specific event. Or do certain interview actions.
For example, change their status to interview, and then add and assign interviewers.
Like mentioned before, you can make an offer out to all the year sevens, at the same time,
And you can reset, and reopen previous offers, in bulk.
You can also do certain payment actions, such as change a payment amount, or roll up, or roll down some students.
If you are heading over into a new year, you can use this bulk action to roll up your students from being year 7, 2024 into being year 8, 2025, if they are still on a waiting list to get a spot at the school.
Bulk actions are basically a tool to make actions for multiple students at the same time and save time doing it. Have a look through the bulk action list to see what you can do.
