How To Set Up Dual Signature Workflows
For any separated or divorced families EnrolHQ offers a split signature process for application form, offer and custom forms. Using this feature, the parents can sign and accept the terms and conditions from two separate devices without any personal information being shared.
The split parent signature will be available for selected parent relationships (see how to set this up below) and can be found at the final stage of the form:
Update text - tickbox for separated parents
To update the tickbox text for Parent/Carer 1 to say Parent/Carer 2 is not available to sign (that shows "Please tick here if Parent/Carer 2 is not available sign") go to Settings > Customisation > Common Settings:
Select which parent relationships are available for split signatures
Go to Settings > School Details > Parent Signatures
Select the category/s that are included in the Separated Parent Signature workflow (this is a dropdown selection) and can only be those options that have been configured.
Don't forget to scroll to the bottom to save your changes.
Single Parents
A single parent has to be defined by the Birth Certificate, legal proof of death for a parent or by a court order specifying a single parent status.
Selecting this parent relationship status will allow the parent to continue an application or accept an offer without having to fill in the details for a second parent.
Include the category/s for single parent workflow (this is a dropdown selection) by going to Settings > School Details > Parent Relationships
Legal Aspects of Digital Signature
We collect parent signatures on our Application Forms, Acceptance of Place forms and Custom Forms.
The following is what we collect and our process:
- A digital footprint showing that the user is logged in (after verifying their email address) and is completing the Form as that logged in user. (ie user must have access to the email address and password).
- All information including the Terms, Data Collection Policy and the Form (including a copy of any emailed letter) is collated into a PDF and emailed to the School and the parent at time of submission.
- The specific and unique IP address of the computer used to complete the application is recorded.
- The timestamp of the submission is recorded.
- The reconciled payment / banking information via their credit card linked to their unique ID and recorded.
- A squiggle signature is recorded.
- Parents are asked to upload a copy of their ID (Driver's License of Passport) to verify the signature.
This collection of information constitutes a digital signature - not just an electronic signature - as hidden data is attached to the form to prove the authenticity of the author and their intent to sign.
