How to add a user

In this video, we will go through how to add a new user to EnrolHQ.

You need to go to user management in your main menu and click on users to get to the screen.

If you can't see user management, that means you don't have access to add new users and you need to ask your IT.

When you have clicked on "Users", you will see this screen. To add a new user, you click on "Add" in the top right corner, under Staff Users.

When you click on add, you'll be taken to the screen, which is called "Staff User Edit."

And here you will need to add in the information.

Start by entering the new user's "first name". For example, "Volunteer User". Then enter in the last name, email address, and password.

You also need a personal mobile phone number, for two-factor authentication.

You can turn off the two-factor authentication, but you still need to enter a number to add a user. If you don't have a phone number, just use "04" and 9 o's, as a blank number, to continue.

Finally, you need to add the roles and permissions. This decides what permissions the user has inside EnrolHQ and the roles can be adjusted inside "User Management", and "Roles and Permissions".

We will look closely on how to make these adjustments in the next video. In this case, let's say we want this person to have registrar and admin access.

When you save and return to the main user screen, you will have the user we just added, at the bottom, here.

At this point, you can turn off the password authentication, if you have "single sign-on" enabled for your school.

If you turn this off, the user will be able to continue using SSO.

From the main user screen, you can also activate or deactivate a user. You can do this by going to the "active" column and disabling the toggle.

If you refresh the page, you will find this "volunteer user" under "Active", and "No", and then you can pull them back again by clicking on "Active", and refreshing. That will add them back to the list again.

Remember that you can always edit the user by going to "Edit", and adjusting their details or roles.
